Big milestone or little birthday? Borrow a cheerful opening, add the party details, and make every guest feel welcome.

A birthday invitation can be playful without making guests guess the plan. Start with who you are celebrating, the date, time, place and reply deadline. Then add a line that captures the occasion. The examples below are fictional and can be adapted to suit your gathering.

A milestone birthday

A new decade deserves good company. Join us to celebrate Alex’s 40th birthday on September 18, from 7 pm, at Cedar Room, 18 Park Lane. Dinner, music and favourite people. Please reply to the host by September 1.

Mention the age only if the person celebrating wants it included. If the event is a surprise, say so clearly and explain when guests should arrive. Keep surprise logistics out of any message that might be forwarded to the guest of honour.

A relaxed birthday dinner

Good food, a few stories and another year together. Come celebrate Alex’s birthday over dinner on September 18 at 7 pm. Cedar Room, 18 Park Lane. Let us know by September 1 if you can join us.

Explain any practical arrangements that guests need to decide whether to attend. If there is a booking, a set menu or a cost guests will cover, make that clear before they reply rather than leaving it for the day.

A child’s birthday party

Ready, set, celebrate! Join us for Jamie’s 6th birthday on September 18, from 2 to 4 pm, at Maple Playroom, 22 Garden Road. Please reply by September 1 and let the host know about any dietary needs. Parents are welcome to stay.

For a children’s party, an end time is especially helpful. Explain whether a parent should stay, whether siblings are included and whether any clothing or equipment is needed. Avoid an open-ended invitation if the venue has a guest limit.

Add useful notes without overwhelming the invitation

Keep the main invitation short and put parking, access, food and activity notes in a clearly labelled details section. If you would prefer no gifts, say it warmly and plainly. Share only the contact details that guests need to reply or ask a question.

Review the details together

Check spelling, venue address, arrival time, finish time and the reply deadline. For a surprise, ask the organizer to review the wording carefully. Open your digital invitation on a phone before sharing and make sure the important details remain easy to read.
